Frequently Asked Questions (FAQs)

  • I am currently a private-pay, out-of-network provider. While I don't accept insurance directly, your insurance plan may have out-of-network benefits, which means that they will reimburse you for a portion of our session cost. I have partnered with Thrizer to handle the out-of-network process automatically for you. With Thrizer, you will only have to pay a copay for our sessions post-deductible, instead of paying my full fee and waiting for reimbursements. This typically allows clients to save on average 70% upfront on our sessions. During our intake process, I can help you verify if you have out-of-network benefits and how much your copay would be.

  • Check automatically with Thrizer OR call your insurance directly. Calling will have the most accurate information. https://eligibility.thrizer.com/willowhousetherapy

Step 1: Call the Member Services Number on Your Insurance Card:
Look for a phone number listed under “Mental Health”, “Behavioral Health”, or Customer Service. You can also check your insurance provider’s website for a member portal or chat option.

Step 2: Ask the Following Questions:
“Hi, I’m looking to understand my out-of-network benefits for mental health counseling. Can you help me check my coverage?”
    Then ask these questions:

    • Do I have out-of-network benefits for outpatient mental health?
(This lets you know whether reimbursement is even an option.)

    • What is my out-of-network deductible, and how much of it have I met?
(You often have to meet this amount before getting reimbursed.)

    • What percentage of the session cost is reimbursed after I meet my deductible?
(This is usually a percentage like 60%–80% of the “allowed amount.”)

    • What is the “allowed amount” for CPT Code 90837 or 90847?
(90837 if for individual sessions and 90847 if for couples)

    • Are there any limits to the number of sessions per year?
(Some plans limit visits or require medical necessity.)

    • Do I need any pre-authorization or a referral?
(Rare, but important to know ahead of time.)

    • How do I submit a superbill for reimbursement, and how long does reimbursement take?
      (I provide superbills upon request.)

  • I can send you a superbill (itemized receipt of services) through the portal OR I use a program called Thrizer that submits your superbills automatically for you for quick and easy reimbursement. They also can provide an automatic benefits break down (benefits may not be fully accurate. it’s important to double check with your insurance provider to make sure it’s correct).

  • If you need to cancel or reschedule an appointment, I ask that you provide at least 24 hours notice. Sessions canceled with less than 24 hours notice, or missed without notice, will be charged at the full session fee. Exceptions may be made in cases of illness, emergency, or severe weather. If there is availability to reschedule within the same work week of the canceled/no-show appointment, then you will pay for the rescheduled session only. Every client receives one Courtesy Credit per calendar year in which the no show/late cancellation fee will be waived. I recognize there are times that late cancellations may be unavoidable, and there may be times where I will need to cancel our session last minute as well. If this is the case, you will not be charged for that session. Rather, you will receive a Courtesy Credit that you may use to waive a future late cancellation/no show fee.
